When a global technology company wanted to inspire senior leaders to embrace Artificial Intelligence, it recognised that presentations alone wouldn’t change perceptions. Instead, the goal was to create an experience that would encourage curiosity, challenge assumptions and demonstrate how AI could become a valuable business partner rather than something to fear.

Working alongside award-winning event agency Viva Esprit, Ailias created CAI—a bespoke conversational AI Digital Human designed to become an active participant throughout an international leadership summit. Rather than appearing as a one-off demonstration, CAI co-hosted conference sessions, interacted live with delegates, answered questions and evolved throughout the event as new knowledge was introduced.

The Challenge

Helping leaders experience AI rather than fear it

The international leadership summit brought together around 100 senior leaders from the Cloud Infrastructure Services division of a global technology company. The event formed a key part of the organisation’s wider transformation programme, encouraging leaders to embrace change with greater confidence while exploring the role Artificial Intelligence would play in the future of the business.

Working alongside event agency Viva Esprit, the organisers recognised that another presentation about AI wouldn’t be enough. They wanted delegates to experience AI first-hand in a way that felt relevant, engaging and memorable.

The challenge wasn’t simply to demonstrate new technology. It was to address the uncertainty that often surrounds AI in the workplace, helping senior leaders move beyond scepticism and understand how AI could become a trusted business partner rather than something to fear.

To achieve this, the Digital Human needed to become far more than an attention-grabbing feature. It had to integrate naturally into the conference programme, co-host sessions, interact with delegates, answer questions with confidence and even inject moments of humour into the experience. Most importantly, it needed to reinforce the event’s central message: that AI should empower people, not replace them.

It was an ambitious brief. Success would depend not only on the technology itself, but on creating a Digital Human that delegates trusted, engaged with and remembered long after the conference had ended.

The Solution

Designing a Digital Personality

Creating an AI Digital Human capable of co-hosting an international leadership summit required far more than generating a realistic face or voice.

The objective was to develop a digital personality that could confidently represent the event, communicate complex ideas with clarity and become a credible part of the conference experience.

Working closely with Viva Esprit throughout the planning process, Ailias developed CAI as a bespoke conversational AI Digital Human, carefully refining every aspect of the experience. Multiple concepts were explored before arriving at the final character, with continual refinement of facial appearance, voice, accent, pacing and personality to ensure the Digital Human complemented the tone and objectives of the event.

Alongside the character itself, Ailias created a dedicated knowledge base built around the organisation, the conference programme and the wider themes of business transformation and Artificial Intelligence. This enabled CAI to answer delegate questions naturally while remaining aligned with the event’s messaging and leadership objectives. Personality also played an important role, with moments of humour and carefully considered conversational behaviours helping interactions feel approachable, engaging and authentic.

Development remained highly collaborative throughout. As the conference programme evolved, the Digital Human evolved with it. Regular demonstrations, testing sessions and client reviews allowed the experience to be continually refined, ensuring that by the time delegates first encountered CAI, the Digital Human felt like a genuine member of the event team rather than a standalone technology demonstration.

From Demonstration to Conference Co-Host

From the moment delegates entered the conference, it was clear this wasn’t going to be a conventional leadership event.

CAI was deliberately introduced as part of the opening experience, immediately setting the tone for the summit and challenging delegates to think differently about the future of Artificial Intelligence. Rather than appearing as a standalone demonstration, the Digital Human became an active participant throughout the three-day programme, co-hosting sessions, introducing speakers and supporting the event narrative as it unfolded.

One of the project’s greatest strengths was its flexibility. As new discussions emerged throughout the conference, Ailias updated CAI’s knowledge base, allowing the Digital Human to reference presentations, summarise earlier sessions and incorporate fresh insights into live conversations with delegates. This ensured interactions remained relevant throughout the event rather than relying on pre-programmed responses alone.

CAI’s role extended well beyond the main conference stage. During the welcome dinner, delegates were invited to speak directly with the Digital Human through a live question-and-answer session. Conversations ranged from business transformation and Artificial Intelligence to lighter, more informal topics, demonstrating not only the depth of the knowledge base but also the importance of personality, humour and natural interaction in creating memorable experiences.

Behind the scenes, Ailias worked closely alongside Viva Esprit’s production team throughout rehearsals and live delivery, adapting to programme changes, supporting additional speaker requests and ensuring the Digital Human integrated seamlessly into the wider event production. Rather than operating as a standalone technology supplier, Ailias became part of the live event team, collaborating with producers, show callers and technical specialists to deliver a smooth and reliable experience from start to finish.

By the end of the summit, CAI had become far more than a digital presenter. The Digital Human had evolved into a recognised personality within the event, contributing to discussions, interacting naturally with delegates and demonstrating how conversational AI can actively participate in live experiences rather than simply presenting information.

From Curiosity to Confidence

Supporting a measurable shift in attitudes towards AI

CAI quickly became one of the most talked-about elements of the leadership summit. What began as curiosity soon developed into genuine engagement, with delegates interacting naturally with the Digital Human throughout the conference, asking questions, exploring ideas and continuing conversations well beyond the main stage presentations.

For Viva Esprit and their client, the objective had never been to showcase technology for its own sake. The Digital Human was designed to support a much broader transformation programme, helping leaders experience Artificial Intelligence in a way that felt practical, approachable and relevant to their everyday roles. Throughout the event, CAI demonstrated how conversational AI could communicate, collaborate and support people rather than replace them.

The wider conference achieved a measurable shift in mindset. According to Viva Esprit’s post-event behavioural analysis, at the beginning of the summit only 50% of leaders felt ready to embrace organisational change. By the closing session, that figure had increased to 99%, with delegates reporting stronger alignment, renewed confidence and a clearer understanding of their role in the organisation’s future transformation.

While this outcome reflected the success of the conference as a whole, CAI played an important role in bringing the event’s central message to life. Rather than simply talking about AI, delegates were able to experience it first-hand through meaningful, memorable interaction.
